The template, section by section

Prefer to write your own? Copy each block below, replace the parts in braces, and delete what doesn't apply. Keep the essentials at the top: that's what guests look for first.

1. Welcome message

A short, warm welcome sets the tone. Two or three sentences are enough.

Welcome to {Property name}!
We're delighted to have you. Everything you need for your stay is in this guide. If anything is missing, message us any time on {phone}.
{Your first name}

2. The essentials

This is the page guests open the most. Put it first, and make the Wi-Fi password easy to read.

Wi-Fi network: {name}
Wi-Fi password: {password}
Address: {full address}
Your host: {name} · {phone / WhatsApp}
Emergency: 112 in Europe, 911 in the US

3. Arrival and access

Most stressful messages happen at arrival. Be precise, and add a photo of the entrance in your digital guide.

Check-in: from {4pm}
Keys: {lock box next to the door, code sent on the morning of arrival}
Parking: {where, free or paid, any permit}
Finding the entrance: {e.g. blue door on the left of the bakery, 2nd floor}

4. How the home works

One line per appliance saves you a message per stay. Start with what guests struggle with in your home.

Heating / AC: {how to switch on, ideal setting}
Hot water: {boiler location, wait time}
Kitchen: {hob, oven, dishwasher tips}
Laundry: {programme, detergent location}
TV: {remote, streaming apps}
Fuse box / water shut-off: {location}

5. House rules

Keep them short, specific and friendly, and give the reason. Our guide to Airbnb house rules has 40 examples.

Quiet hours: {10pm to 8am}
Maximum guests: {X}, no overnight visitors
Smoking: {not allowed indoors or on the balcony}
Pets: {allowed / not allowed}
Parties and events: not allowed

6. Local recommendations

Guests remember the bakery you sent them to. Five to ten personal picks beat a long generic list.

Bakery: {name} · {why we like it} · {distance}
Café: {…}
Restaurant: {…}
Supermarket: {…}
Pharmacy: {…}
Walk or view: {…}

7. Before you leave

A clear checkout list avoids extra cleaning and keeps your cleaner on schedule.

Checkout: by {11am}
• Load and start the dishwasher
• Take out the trash
• Close the windows, switch off lights and heating
• Leave the keys {on the kitchen table}
Thank you for staying with us!

Tips for a welcome book guests actually read

  • Put the Wi-Fi password and the check-in steps first. Guests open the book for those.
  • Write like you'd text a friend: short sentences, no jargon.
  • Explain the reason behind a rule. Guests follow reasons more readily than orders.
  • Add photos of the entrance, the lock box and tricky appliances.
  • Update it after each season. Out-of-date info is worse than none.
  • Translate it if you host international guests. A printed English book helps no one who doesn't read English.

Paper, PDF or digital?

A printed book is good to have in the home, but guests only see it after they arrive, and you have to reprint it every time something changes.

A digital welcome book is a link you send before arrival. Guests read it on their phone, in their language, and you update it in seconds. With guideMe, the AI drafts it from your listing in about 5 minutes, translates it into 7 languages and gives you QR codes to print. Your first guide is free.

Frequently asked questions

What should an Airbnb welcome book include?+

The essentials (Wi-Fi, address, host contact, emergency number), arrival and access instructions, how the home works, house rules, local recommendations and a checkout checklist. This template covers all of them.

Is this welcome book template really free?+

Yes. The PDF is free to download with no email required, and you can copy every section from this page. guideMe also lets you build one digital guide for free.

Should my welcome book be printed or digital?+

Both work well together. Keep a printed copy in the home, and send a digital version before arrival so guests have the check-in details on their phone. A digital guide is also easy to update and translate.

How long should a welcome book be?+

Short enough to scan: one page of essentials, then one short section per topic. Most good welcome books fit in 5 to 8 pages.
